Application & Interviews
How do I schedule my application interview?
Please schedule your interview using the following link. Make sure to use the same email address we have on file when booking your slot.
I previously completed an IMA internship. Do I have to redo the entire application process if I want to return?
Alumni are welcome to apply for future internships. While the process is somewhat streamlined compared to first-time applicants, it still includes an interview with a senior member of IMA’s leadership team.
Program Costs & Invoices
Is there a fee to participate in an International Medical Aid internship, or is it free?
All IMA programs have associated costs. These cover comprehensive support services, including accommodation, meals, local transportation, and mentorship. At this time, IMA does not offer purely volunteer or fully-funded opportunities.
How can I access or request an invoice for my IMA program?
Invoices for both completed and ongoing programs can be accessed directly through your IMA Online Portal. From there, you can view, download, and print your past invoices at any time. If you have trouble accessing the portal or locating your invoice, please contact our Support Team for assistance.
Program Support & Availability
Who can I contact if I have questions or concerns during my internship?
You can reach out to our Program Mentorship staff—Phares, Benson, Margaret, Hildah, Mitchel, Janet, or any member of the team. They are available day or night to answer questions, address concerns, and provide guidance.
Safety and Security
What are the curfew rules for interns?
The curfew at the Program Residence is 12:00 AM for interns aged 18 and above, and 9:00 PM for interns under 18. The curfew is strictly enforced.
Do I need to check in and out with Security Staff?
Yes. For your safety, you must check in and out with the Security Staff whenever you leave or return to the Program Residence.
What should I do if I plan to eat out in the evening?
Please communicate your plans to our Program Mentors and check with Chef Joshua about meal arrangements.
Quiet Hours
What are the quiet hours at the Program Residence?
Quiet Hours are observed from 10:00 PM to 6:00 AM Monday–Thursday and 11:00 PM to 6:00 AM Friday–Sunday.
Clinical Debriefings & Mentorship
When are clinical debriefings held, and is attendance required?
Clinical Debriefing Sessions are held every Monday and Friday at the Program Residence, starting at 2:00 PM. Attendance is required, and a record is taken.
What is the Anonymous Incident Reporting System, and how do I access it?
The system allows you to report any incidents or concerns confidentially. You can access it anytime through this link.
Wellness Days
How often can interns take a Wellness Day during their internship??
Each intern is allowed one Wellness Day every two weeks during their internship.
How do I request a Wellness Day?
You can sign up for your Wellness Day using this link at least 24 hours in advance. Requests will be confirmed by email.
Hospital Transportation & Shuttle Service
What is the weekly hospital transportation schedule?
A set schedule is provided for transportation between the Program Residence and the hospital. Please review the weekly schedule for specific times.
How can I arrange additional group transportation?
Additional transportation within Mombasa is available for $10–$35+ per person, depending on the destination. You must sign up at least 24 hours in advance via the transportation request link. Availability depends on vehicles and program schedules.
Is there a shuttle service for interns?
Yes. A complimentary shuttle service runs to City Mall and Nyali Center on Tuesdays, Thursdays, and Sundays between 2:00 PM and 5:30 PM. Pick-up from the residence is at 2:00 PM, and return is by 5:30 PM. No sign-up is required.
Can I request transportation outside the shuttle schedule?
Yes. Additional group transportation can be arranged for a small fee ($10–$35+ per person) with at least 24 hours’ notice.
Departmental Packing List
What items should I bring for my hospital rotations?
You’ll need to bring or prepare the following items depending on the department you are rotating in:
Surgery Department – extra pair of scrubs and crocs
Maternity Department (OB/GYN) – extra pair of scrubs and crocs
ENT Department – extra pair of scrubs and crocs
Neonatal Care Unit (NBU) – shoe covers (provided at the Program Residence)
Intensive Care Unit (ICU) – shoe covers (provided at the Program Residence)
Cardiology Department – shoe covers (provided at the Program Residence)
Shifts
Can I take night shifts at the hospital?
Yes. Night shifts are available on Tuesdays and Thursdays from 8:00 PM to 6:00 AM at Coast General Teaching and Referral Hospital. Sign-up is required by the Saturday of the previous week. For your safety, interns must remain at the hospital until 6:00 AM.
Are there afternoon rotations available?
Yes. Afternoon rotations are available on Mondays and Thursdays in the following departments: Emergency, Internal Medicine, Surgery, Radiology, Maternity (OB/GYN), and ICU.
How do I sign up for afternoon shifts?
You can sign up for afternoon rotations using this link You must submit your request no later than the Saturday before the week of your shift. Afternoon rotations take place on Mondays or Thursdays, subject to availability. A lunch-to-go will be prepared, and hospital pick-up is at 4:30 PM. To be fair to other interns, please avoid cancelling with less than 24 hours’ notice.
Photo Sharing & Social Media
Can I view and share photos from my internship?
Yes! We’ve set up a Google Photos folder where you can view and download all the photos taken by our local staff. You’re also welcome to upload and share your own photos there.
Can I collaborate with IMA on Instagram?
Yes. Tag @internationalmedicalaid in your posts and stories and add IMA as a collaborator.
Are there rewards for sharing my photos?
Yes. Each week, the best collaboration post receives an IMA-branded Nalgene. Photos shared to Google Photos or Instagram are also automatically entered into IMA’s Annual Photo Contest with opportunities to win scholarships and cash prizes.
